Timing

Choosing between a single move and a phased one

The right schedule depends on how long your business can pause and how much you have to move.

Small teams can often relocate in one evening or on a Saturday, with everyone back at their desks on Monday. Larger offices usually move department by department over several days, so part of the company keeps working while the rest is in transit.

Our hours are Monday to Saturday 09:00-23:00 and Sunday 08:00-22:00. If your building only allows moves outside those hours, mention it early so we can discuss options.

Floor plan

Labelling workstations so every desk lands in the right place

The most useful document in an office move is a simple floor plan of the new premises with a number on every desk position. Each item from the old office then gets the matching number, and the crew places it without needing to ask anyone.

    Number the new layout

    Mark each workstation, meeting room and storage area on a plan of the new office. Print a few copies and send us a photo.

    Tag every item

    Put the same number on each desk, chair, drawer unit and box that belongs to that position. Colored stickers per department help even more.

    Post the plan at the entrance

    On the day, tape a large copy of the plan by the door of the new office. The crew uses it as a map.

    Assign a floor captain

    One person from your team stands at the destination and answers placement questions. That keeps the crew moving.

Ask staff to pack their own desk contents into one labelled box each, clearly marked with their name and desk number. Personal items and valuables should travel with the employee.

Technology

IT equipment is prepared by your own IT team

We carry and transport equipment. We do not disconnect networks, migrate servers or handle data.

Your IT staff or external IT provider should shut down, disconnect, label and, if needed, pack computers, monitors, printers and network devices before the crew arrives. They know which cables belong where and which machines hold data that must be backed up first. At the new site, they reconnect and test everything.

  • Back up servers and workstations before anything is unplugged.
  • Bag and label cables, power adapters and docking stations per desk.
  • Keep laptops with their users rather than in the truck.
  • Wrap monitors and keep them upright, ideally in original boxes if available.
  • Tell us in advance about racks, UPS units or anything unusually heavy, so we can plan people and protection.

Paperwork

Archives, files and confidential documents

Paper archives are heavy and easy to mix up. The safest method is to pack them in numbered boxes that match a written index, so that anyone can find file 214 without opening twenty boxes.

Numbered boxes

Give every archive box a unique number and record its contents in a spreadsheet. The index stays with your office manager, not in the truck.

Sturdy, not oversized

Paper gets heavy fast. Use strong boxes of a moderate size so they can be stacked and carried without splitting.

Confidential material

Seal sensitive boxes with tape your team signs across, and consider having an employee ride along or meet the truck at the destination.

Cabinets and safes

Filing cabinets usually travel empty. A safe is a special item: send us a photo, its approximate size and the floors involved so we can assess it.

Old files to discard

A move is a good moment to clear out paperwork your company no longer needs to keep. Decide what to shred before packing starts.

Old furniture to remove

Business centers

Rules at both business centers

Most offices in Tbilisi sit in business centers or mixed-use towers, and each has its own procedures.

Before we can confirm a date, someone at your company needs to check with building management at the old and the new address. Business centers in Vake, Saburtalo and along the main avenues usually have rules about when and how moves can happen.

  • Is there a service lift, and does it need to be booked for a time slot?
  • Must passenger lifts stay free for tenants during the move?
  • Are passes or a list of crew names required at security?
  • Where can a truck stop to load, and is there a loading bay or underground access?
  • Do floors and lift walls need protective covering?
  • Are weekend or evening moves allowed, and until what hour?

Share the answers with us, and if management sends written rules, forward them. We plan the crew and the vehicle around them. If the new office is on an upper floor with a lift that cannot take large meeting tables, an external furniture lift may be worth considering.

Arrival

Setting up at the new office

An office move ends when people can sit down and work, not when the truck is empty. We place desks, chairs and cabinets according to your plan and can reassemble furniture that was taken apart, if you agreed on that when booking.

Modular desks, meeting tables and shelving units often need to be dismantled at the old site and put back together at the new one. Tell us which pieces need this so the time is planned.

Newly fitted offices are often dusty. Booking after-renovation cleaning before the furniture arrives, and regular office cleaning afterwards, gives the team a fresh start.

Can you move our office over a weekend?

Yes, as long as both buildings allow weekend access. We work on Saturdays 09:00-23:00 and Sundays 08:00-22:00.

Will your crew disconnect our computers and server?

No. Your IT team or IT provider should prepare, disconnect and later reconnect all equipment. We handle the carrying and transport once it is ready.

Do you need to visit the office before quoting?

For small offices, a detailed list and photos are often enough. For larger moves, a site look may make sense, and we can discuss that when you get in touch.

How do you avoid mixing up desks from different teams?

By using your numbered floor plan and matching labels on every item. A person from your side at the destination answers any placement questions.

Can we pay by bank transfer and get paperwork for accounting?

Payment terms and any documents you need are agreed when booking. Please raise your accounting requirements in the first conversation.

How much notice do you need for an office move?

The more the better, because business centers often need time to approve service-lift slots and security lists. Let us know as soon as your lease dates are fixed, and we can pencil in a date while you finalize the details with building management.

Can you move only part of our office?

Yes. Partial moves, such as one department or a set of meeting-room furniture, are common. Give us an exact list of what goes.
